Position Summary

The Human Resources Intern will gain hands-on experience in nonprofit HR operations while supporting critical administrative, compliance, and systems functions. This role is ideal for a detail-oriented, tech-comfortable individual interested in HR systems, personnel file management, and process improvement.

The intern will play an important role in strengthening HR infrastructure by helping organize records, support compliance efforts, and assist with transitioning manual processes into more efficient, automated systems.

The essential functions include, but are not limited to, the following:

MAJOR DUTIES AND RESPONSIBILITIES:

Personnel Files & Documentation

  • Organize, audit, and maintain employee personnel files (physical and electronic)
  • File HR documents accurately and in accordance with record retention standards
  • Assist with converting hard-copy files into digital records
  • Support HRIS uploads and document indexing from paper files

HR Compliance Support

  • Assist with tracking required employment documentation (I-9s, W-4s, policy acknowledgments, certifications, etc.)
  • Help identify missing or outdated documentation
  • Support preparation for internal or external audits
  • Maintain confidentiality of all employee and organizational information

HR Systems & Automation

  • Assist with data entry and uploads into the HRIS system
  • Support process improvement initiatives, including digitization and workflow automation
  • Help develop tracking tools, spreadsheets, and basic reporting templates
  • Participate in organizing SharePoint or digital HR file systems

 

EXPERIENCE AND QUALIFICATIONS:

Education:

  • Candidates must be currently enrolled in a college or university or have recently completed studies in Human Resources.
  • Strong interest in HR operations, compliance, and HR systems

Experience:

  • High attention to detail and strong organizational skills
  • Comfortable working with both paper files and digital systems
  • Proficient in Microsoft Office (especially Excel and Word); familiarity with SharePoint or HRIS platforms is a plus
  • Ability to handle sensitive information with discretion and confidentiality
  • Strong data entry accuracy
  • Self-motivated with the ability to work independently and follow structured processes

Physical Demands: The essential functions of this position require the employee to remain in a sedentary position for extended periods while operating a computer and other office equipment. Strong vision, hand–eye coordination, and manual dexterity are essential. The position may also require occasional lifting of items weighing up to 20 pounds.
